When you upload contracts, amendments, leases, purchase agreements, exhibits, schedules, addenda, due diligence documents, or other files, we collect and process the contents of those documents. This may include names, addresses, email addresses, phone numbers, property information, transaction terms, purchase prices, lease terms, deadlines, inspection periods, closing dates, financing dates, title deadlines, broker information, signatures, and other information contained in the uploaded documents.
We collect information generated through the Services, including extracted dates, deadlines, summaries, abstracted milestones, contract terms, reports, dashboards, PDF exports, notes, corrections, and other outputs created from uploaded documents.
If you purchase a subscription or paid feature, we may collect billing-related information. Payment processing may be handled by third-party payment processors. We do not intend to store full credit card numbers on our own systems.
We may collect technical and usage information, including IP address, browser type, device type, operating system, referring URLs, pages viewed, features used, upload activity, error logs, system activity, and approximate location derived from your IP address.

DatePilot uses automated systems, software, optical character recognition, parsing tools, artificial intelligence, machine learning, language models, or other document-processing technologies to scan uploaded contracts and identify relevant dates, deadlines, and contract information.
When you upload a document, the Services may extract text and selected page images from that document and transmit that extracted content to third-party AI, OCR, hosting, database, and infrastructure providers solely to provide, secure, troubleshoot, and improve the Services. DatePilot currently stores extracted contract text and structured outputs in your account; uploaded PDF binaries may not be retained unless a feature expressly requires storage.
The Services are intended to assist users with contract date abstraction and milestone tracking. The Services do not replace legal, brokerage, accounting, title, escrow, property management, or other professional review. You are solely responsible for verifying all extracted information, summaries, dates, deadlines, and outputs against the original contract documents.
We do not guarantee that any abstraction, summary, report, or extracted date will be complete, accurate, or error-free.
You represent and warrant that you have all necessary rights, permissions, consents, and authority to upload any document or information to the Services.
You should not upload documents containing sensitive personal information, confidential third-party information, financial information, personal identifiers, protected health information, or other regulated information unless you are authorized to do so and the upload is necessary for your use of the Services.
You are responsible for reviewing uploaded documents and removing or redacting information that is unnecessary or that you are not authorized to share.

Uploaded documents, extracted text, selected page images, and extracted data may be processed by third-party technology providers that support scanning, OCR, parsing, artificial intelligence, language model processing, data extraction, storage, or related technical functions. These providers may process information outside DatePilot's direct systems under their own security, retention, and processing controls.
We may disclose or transfer information in connection with a merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or similar transaction.
We may disclose information if we believe disclosure is necessary or appropriate to comply with law, regulation, legal process, subpoena, court order, governmental request, or to protect our rights, users, property, safety, or the integrity of the Services.
We may share information when you direct us to do so, such as when you export reports, download PDFs, share outputs, invite users, integrate with third-party tools, or otherwise authorize disclosure.
We do not sell uploaded contracts or document contents to third parties.
We also do not intend to use uploaded contracts for targeted advertising.

We retain information for as long as reasonably necessary to provide the Services, maintain your account, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud, maintain security, and support legitimate business purposes.
Uploaded documents, extracted data, reports, and user-generated outputs may remain in your account unless deleted by you, deleted according to account settings, or deleted according to our retention practices.
You may request deletion of certain personal information as described below. We may retain copies where required or permitted by law, including for backup, security, legal, compliance, fraud prevention, dispute resolution, or legitimate business purposes.
We use commercially reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, disclosure, alteration, or destruction.
However, no method of transmission, storage, hosting, encryption, cloud processing, AI processing, or electronic communication is completely secure. We cannot guarantee absolute security of information uploaded to or processed by the Services.
You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account.
We understand that uploaded contracts may contain confidential business and transaction information. We use uploaded documents to provide and improve the Services, operate the platform, provide support, maintain security, comply with legal obligations, and perform related business functions.
You should not upload privileged, highly sensitive, regulated, or third-party confidential information unless you have determined that your use of DatePilot and its service providers is appropriate and authorized for that information.
You should not use DatePilot as the sole repository for critical transaction documents. You should maintain your own copies of all original contracts and verify all extracted dates and outputs independently.

We do not sell uploaded contracts. We do not use uploaded contracts for targeted advertising. We do not intend to use automated processing to make decisions that produce legal or similarly significant effects concerning users.
If we engage in processing subject to universal opt-out requirements, we will honor recognized universal opt-out signals as required by applicable law.
